The problem was not storage; it was naming. The drive held 2,300 files and 41 folders with “final” in the name, and three people had saved their own final versions. The cause was predictable: each person solved a deadline by creating a new folder, and nobody removed the old one. The solution was a bounded cleanup I now call slimking.

Run a 45-minute pass with a no-delete rule

I use a strict 45-minute timer and a no-delete rule. Nothing leaves the drive until it is copied to a dated archive folder; this removes the fear that stalls cleanup. In the studio, the first pass took 38 minutes and removed 112 exact duplicates. The lesson is not speed. It is that a short, reversible pass beats a heroic weekend purge that nobody repeats.

Follow three moves: remove, rename, route

Remove exact duplicates. Match by file name, size, and modified date. Skip anything ambiguous.

Rename survivors. Use one pattern: project-client-date-purpose. Example: northwind-logo-2024-06-14-approved.ai.

Route into three buckets. Active, archive, and review. Active gets current work; archive gets signed-off files; review gets anything nobody can identify within 20 seconds.

In the studio, those moves cut 41 “final” folders down to six active project folders. A search that had taken nine minutes in a test run dropped to under two minutes because the obvious duplicates were gone and the names carried the date and purpose.

Anchor the result with a 10-minute Friday check

The cleanup failed on the first attempt because new files landed on Monday and the old habits returned. The fix was a recurring review, not a bigger purge. Every Friday, one person spends 10 minutes checking the three buckets and moving misfiled items. The result is a drive that stays searchable without turning slimking into a weekly project.

If you test this on a shared drive, start with one folder and time-box it. The slimking approach works because it makes the first move small, reversible, and repeatable.

Start with one shared drive and one visible mess Last spring, a six-person design studio asked me to fix a shared drive that had become unusable.
